Meet The Brain: the system we built to run our quotes, and how it could run yours

Every sign we make starts as a quote. Most of those quotes are bespoke, most need artwork, and a good number need a conversation before anyone can put a price on them. Multiply that across a busy week and it's a lot to keep hold of.

For years we've done it the way most sign companies do: a job management system, shared inboxes, spreadsheets and people's memories. It works, until it doesn't. A quote sits a week longer than it should. A customer comes back with a go-ahead and it waits behind twenty other emails. Nobody is at fault. There's just too much for any one person to see at once.

So we built The Brain, and we're now trialling it across our own sales team.

Built to work with what you already have
Most businesses don't want another system to learn, and they don't want to rip out the one they've got. The Brain was designed with that in mind from day one. It doesn't replace your job management software, your accounts package, your inbox or your spreadsheets. It connects to them.

Whatever you're using now, The Brain is built so it can be connected to it properly and reliably. Your existing systems carry on doing what they do. The Brain brings the information together in one place, and that's where the clever decisions get made: what's due, what comes first, and what needs a person.

A few years in the making
This isn't a new idea for us. We've been sketching it out, testing pieces of it and rebuilding parts of it for a few years. What held it back was the time and cost of turning an idea into working software alongside running a manufacturing business.

What changed recently is that we've been able to use AI to help us build it. It helped us set out the rules and the boundaries, and turn years of how we work into something that runs day to day.

The Brain itself doesn't use AI to make decisions. It runs on fixed rules and logic: what's due, what comes first, what needs a person. The same situation gives the same answer every time, and you can see exactly why.

What it does

Keeps every quote moving. Each open quote carries a next-contact date. Every morning The Brain builds a single list of what's due, so each person knows exactly which quotes to pick up that day and in what order. No digging back through inboxes, no relying on memory.

Puts the right things first. When a customer says go ahead, that moves straight to the top. Quotes are grouped by customer, so someone with four live projects gets one joined-up conversation rather than four separate ones.

Checks before it tells anyone anything. Before a list reaches anyone, it's checked against the live records in your job system. If a quote has already turned into an order, it doesn't appear. A list people can't trust is a list people stop reading, so this part matters most.

Follows a job from start to finish. From the request coming in, through artwork and pricing, to the order being confirmed and a despatch date agreed, each step is mapped out. Everyone can see where a job is and what happens next, and new starters learn the process by watching it rather than being told it.

Tells you when something isn't working. Every connection has a simple status light. If something stops, you know about it straight away rather than finding out weeks later.

What it means in practice
For the people you quote: quicker answers, fewer things sitting unanswered, and a go-ahead that gets picked up first. They still deal with the same people they know. The Brain doesn't replace them, it gives them a clearer view of what needs doing and when.

For your team: less time searching and more time on the work itself. A clear picture of the day, set out in order, rather than a full inbox and a feeling that something's been missed.
